Collect Buyer Design Files
for Custom Print Orders

The moment an order matches one of your custom-order SKUs, OrderBridge emails the buyer a secure upload link — so their design file is ready and waiting before you sit down to fulfill it.

Custom Print Order File Upload is available at no extra cost on the Growth and Unlimited plans. It stays off until you configure at least one custom-order SKU in Settings — nothing changes for your existing orders until you turn it on.

Requirements

This feature is available on the Growth and Unlimited plans. If you're on Starter, upgrade from the Billing page to unlock it.

Enable the feature in Settings and list the SKU(s) that identify a made-to-order or custom-printed listing.

Add a required Personalization question to the listing asking for the buyer's email. This is what makes the automatic email possible.

Set Up Your Etsy Listing

OrderBridge can only email a buyer if it has a real address to send to — and Etsy does not hand sellers buyer email addresses through its API, for any shop, regardless of import mode. The workaround is to ask for it directly, in the one place Etsy does share with sellers: the listing's Personalization field.

    Open the listing in Etsy Shop Manager

    Go to Listings → [your custom-print listing] → Edit → Details, then scroll to Personalization.

    Add a Personalization question that asks for email

    Something direct works best — e.g. “What email address should we send your upload link to?” Avoid open-ended prompts like “Any special requests?” that won't reliably contain a usable email.

    Mark the question required

    An optional field gets skipped by some buyers. Marking it required is the single biggest thing you can do to make sure the upload link goes out automatically instead of needing your manual follow-up.

    Without a required field: some orders will land with no email at all. That's not a dead end — see the Copy Link fallback in Part 3 — but a required field means most orders never need it.

    Confirm the listing's SKU

    Note the exact SKU on the variant(s) you want this to apply to — you'll enter it in OrderBridge Settings in Part 2. It must match exactly.


Configure OrderBridge Settings

    Open Settings → Custom Print Orders

    In your OrderBridge dashboard, click Settings, then expand the Custom Print Orders section near the bottom of the page.

    Turn on the master toggle

    Nothing happens until you add at least one SKU below — enabling the toggle alone has no effect.

    Add your custom-order SKU(s)

    Type a SKU and click Add (or press Enter). Add as many as you need — every incoming order is checked against this list.

    Brand the upload page (optional, recommended)

    Set a Shop display name — this is shown to the buyer instead of your Etsy handle, and fills the {SHOP_NAME} placeholder in the email. Optionally paste a Logo URL (your Shopify admin's Settings → Files page works well for hosting one) and write plain-text Instructions for buyers shown above the upload form.

    Customize the upload-link email (optional)

    Leave the subject and body blank to use OrderBridge's default message, or write your own using {ORDER_NUMBER}, {UPLOAD_LINK}, {SHOP_NAME}, and {ETSY_ORDER_LINK} as placeholders. A live preview on the Settings page always shows exactly what will be sent, whether that's the default or your override.

    Set a download filename format (optional)

    Controls what a buyer's file is named when you download it — e.g. {ORDER_NUMBER}-{FILENAME}.{EXT}. A live example on the Settings page shows exactly what a sample file would download as with your format. Leave it blank to keep the buyer's original filename untouched.

    Settings apply to new orders going forward — they don't retroactively touch orders already in your dashboard.


What Happens When an Order Comes In

Every new order is checked against your configured SKU list at the moment it's synced from Etsy — this happens identically whether your shop uses live import or delayed import, because it never depends on Shopify's buyer-email field at all.

SKU matches, personalization has a valid email The upload link email sends immediately — no waiting on anything. The order shows “Upload link sent” on your dashboard.
SKU matches, no email found in personalization The order shows “Awaiting buyer email” on your dashboard, and (if you've set one) an internal heads-up goes to your notification email — not urgent, just a nudge.

Two ways an “Awaiting buyer email” order still resolves itself: if you run the browser extension and open that order in it, the extension's normal address-capture step often finds a real email — the upload link then sends automatically. Either way, a Copy Link button is right there on the order row, so you can grab the link and send it to the buyer yourself through any channel — Etsy's own buyer messaging works well, since it doesn't require knowing their email at all.

Why this isn't “live import gets it easier”: Etsy withholds real buyer email from every seller through its API — that's a platform-wide limitation, not something tied to your import mode or account type. Live-import shops don't have any special access delayed-import shops lack. The Personalization field is the one path around it that works the same way for everyone.


The Buyer's Upload Experience

The buyer clicks the link in their email and lands on a page that looks like it belongs to your shop — not OrderBridge.

Accepted file types: PDF, PNG, JPG/JPEG, TIFF, SVG, AI, EPS, PSD — up to 150MB per file. ZIP archives aren't accepted (multiple individual files already cover the “more than one file” case without the risk of an unopened archive).


Downloading a Buyer's File

Every matching order shows a status badge right on its dashboard row, so you always know where things stand without opening the order.

What Happens Behind the Scenes

Files never go to Shopify Uploaded files live on OrderBridge only and are downloaded from your OrderBridge dashboard — they are never sent to, or stored in, Shopify.

A note, not a link, goes to Shopify Once a file has been uploaded and the Shopify order exists, OrderBridge appends a plain-text note to the Shopify order (“Custom design file uploaded — see OrderBridge to download”) so staff working only in Shopify don't miss it. The note deliberately does not include a clickable download link, since Shopify order notes are visible to every staff account and any connected app.

Content is verified, not assumed Every upload is checked against its actual file contents, not just its file extension or the browser-reported type — so a mislabeled or corrupted file can't slip through and get treated as something it isn't.

Frequently Asked Questions

Does this cost extra?
No separate charge — it's included on the Growth and Unlimited plans at no additional cost. It's not available on Starter. It's off by default and only applies to orders matching SKUs you configure.
Do I need the browser extension to use this?
No. The Etsy listing's Personalization field is the primary, always-available path to the buyer's email — the extension is only a bonus fallback if a buyer skips that field and you happen to open their order in the extension anyway.
What if a buyer skips the Personalization question?
The order sits at “Awaiting buyer email” on your dashboard. You can copy the upload link with one click and send it to the buyer through any channel you like, including Etsy's own buyer messaging — no email address required for that path. Marking the Personalization field required on your listing prevents most of these in the first place.
What file types can buyers upload?
PDF, PNG, JPG/JPEG, TIFF, SVG, AI, EPS, and PSD — up to 150MB per file, up to 5 files per order. ZIP archives are not accepted.
Will the buyer know they're using OrderBridge?
Not really. The upload page shows your shop's own name and logo (if configured) and your own instructions — only a small “Powered by OrderBridge” line stays at the bottom.
Do the uploaded files end up in Shopify?
No. Files are stored and downloaded through OrderBridge only. Once a file is uploaded and the order's Shopify order exists, a plain-text note is added to the Shopify order pointing staff back to OrderBridge — the note never includes an actual download link.
Can I control what the downloaded file is named?
Yes — set an optional filename format in Settings using {ORDER_NUMBER}, {FILENAME}, and {EXT}. A live example on the Settings page shows exactly what a sample file would download as. Leave it blank to keep the buyer's original filename.
Does this work the same for live-import and delayed-import shops?
Yes, identically. This feature never relies on Shopify's buyer-email field or on your import mode — it works entirely off the Etsy listing's Personalization field, which is available the same way regardless of how your shop imports orders.
Is this available to my shop?
It's available to any shop on the Growth or Unlimited plan, off by default. If you're on Starter, upgrade from the Billing page — the Custom Print Orders section in Settings will show an upgrade prompt until then. Once you're eligible, turn it on and add your custom-order SKUs in Settings → Custom Print Orders.
Can I apply this to more than one listing?
Yes. Add as many SKUs as you need in Settings — every one of them triggers the same upload-link flow.
